The Perfect Press Release – How to Write One That Gets Noticed

You’ve convinced your marketing manager or company president that adding publicity into your marketing mix is of great value – congratulations! But now what? How do you peddle your story in a way that offers a valuable story idea to a reporter and encourages him to write a story about you? It’s time to develop your writing skills and start developing an arsenal of press releases to fire off to the media.

The Backbone of Publicity – The Press Release

While some may argue that the press release is dead, it is not; it has just evolved over the years. The release is actually the primary means of communicating to the mass media the facts and background for a news story – your story. The trick is writing your press release in a way that engages the reporter to want to learn more about your business or product. Pick up a newspaper and glance at the headlines. Which ones grab you and urge you to read on? Which ones do you skim over? Chances are the reporter or editor receiving your “news” is doing the same with your release. To get noticed, you must think like a reporter. Communicate the who, what, when, where, why, and how, and then explain why your product is unique and different – and most importantly, why your story is worth writing about. Remember though, this is not a sales pitch. Write your release like an objective reporter. Anything that smells of self-promotion will not get picked up by the press.

You can also tie yourself into something bigger. What are the latest trends or fads in your industry? Can you start a trend with your story? By showing how you fit into the bigger story as opposed to why you are the story sometimes gets you even more publicity on a broader scale.

Sadly, however, many journalists are skeptics. They have seen many companies with the “next big idea” fall flat on their face. Journalists have their own reputation to protect so they’re more apt to pursue a story based on fact and significant proof. Again, this is why you want to steer clear of marketing, sales speak, and jargon. If you use this type of language, the Delete button will wipe out your release immediately! If you have customers willing to give a testimonial about how great your product is or statistics from nationally respected researchers, use this objective praise in your release. This information supporting your story idea will go a long way in showing a reporter that your idea is legit.

The Blank Screen – Don’t Panic!

Don’t worry too much if you’re not the next Great American Novelist. While the ability to write well is definitely a bonus, writing in a clear and concise manner will put you miles ahead of many people who regularly send out press releases. Golden rule: don’t make journalists work to find information. Give them the details they need from the beginning and you’ll be on your way to building positive, long-term relationships with the press.

Now, for the actual nuts and bolts of the release? Include:

- the date

- contact information (who should the reporter call or email for an interview to learn more?)

- a headline

- where the news is coming from (also known as a dateline and typically the town where your business resides)

- your lead-in as to why this story is so important

- the body text of the press release, which includes information that supports your lead or story pitch.

Keep it clean and crisp, steer away from fluffy adjectives. Use facts to support what you’re saying. Reporters and editors don’t want to hear marketing speak about how your product is the best, number one, or the largest. Communicate those thoughts through supporting facts.

Essentially, you are becoming a reporter and writing a story (your press release) as you might see it published in a newspaper or magazine. If you write tight, with all the facts, some great quotes with substance, and a little bit of creativity, you have a good shot at garnering some “ink.” I had one client who wrote a press release about a new software package they were introducing to market. Granted, there are so many “new” software packages out there, but this one was unique in that it addressed a growing trend – food traceability. With the recent food scares in spinach and tomatoes, more and more people want to know exactly where their food is coming from.

As a result, the growing trend now is to buy and eat organic or locally grown foods. The VAR wrote a basic release about the new software that addressed this trend, but the release was nothing fancy. However, it included all the facts and it sounded newsworthy. Two weeks after it was distributed to the media, a news article appeared in the state’s primary newspaper. It was the VAR’s press release verbatim, with one of the staff reporter’s byline! Now, you might say, “This is plagiarism. How can they do that?” Reality check: You want them to copy your release verbatim! This is great and successful press release writing. The VAR wrote such a fantastic release with all the correct information that the reporter didn’t have to do any work! The VAR earns an A+ and reaps the rewards of a story about his company. Now get out there and tell your story!

Public Speaking – The Second Five Things You Need to Know

Know that public speaking is the number one human fear. So if you have ever been or are a bit nervous about giving presentations in public, realize you are not alone. Most people have the same problem.

Tip No. 6: Delivering visuals

So now you have a nice, clearly designed visual. How do you mechanically deal with that visual? What do you do physically to present it to the audience? Should you look at the visual? Should you talk to the screen? Should you not talk to the screen?

We suggest that you keep the following things in mind when it comes to delivery with visuals: As soon as your visual is presented on the screen, whether it be from a laptop, or from a slide projector, or even from an overhead projector, your audience will immediately focus one hundred per cent of their attention on the screen.

So you effectively disappear from the room. You vaporize. You could drop your pants, you can blow your nose – it doesn’t matter, because until everyone in the audience has figured out for themselves exactly what all that information means, you’re effectively not there.

Tip No. 7: Effects

Keep in mind: if there are too many bells and whistles, if there is too much movement, if there are too many sounds, if there are too many things going on, people will be more interested in figuring out how to do that with their own presentations then they will be in the actual knowledge you are presenting.

And that’s if your dramatic appliqués are good. Most of the time, effects just add confusion, or worse yet, disconnection. Make sure that your message is more important and of value to the audience than the design features of your presentation.

Tip No. 8: Pointers

We still see some people using the old wooden pointer. We have seen people actually snap that wooden pointer in half. We have also seen people play collapsible pointers like an accordion. The point is, you don’t need a pointer.

An effectively designed and delivered presentation eliminates the need for pointers of any kind. Your data should call attention to themselves. Laser pointers seem to be very popular these days, but very rarely does anybody in the audience like them. In fact, they are pretty annoying to most people and even a Beverly Hills plastic surgeon can’t hold those things still.

Tip No. 9: Hardware

One of the things that you definitely want to make sure is that you show up early to your presentation. Make sure all of the equipment is in working order, the overhead projector, the laptop whatever it is you are using. Check everything out yourself. Just because the banquet manager came in ten minutes ago and told you everything was working last night doesn’t mean it is actually going to work.

We can’t tell you how many times, and we’ve traveled everywhere from India to Indiana teaching seminars, somebody told us something was working, and it did not.

So for that reason you have to show up early and make sure everything is working. Make sure that you can actually work it. Make sure that you actually see it working. It is up to you and it is your responsibility because when you start your presentation you can’t say say, “Well you know, somebody in the banquet department told me just a few minutes ago that this was working.” Don’t be embarrassed. Don’t be caught off guard.

Tip No. 10: The Q&A process

This process can be very, very difficult because when you are making a presentation, you are in essence in control. You have designed that presentation. You have created some excellent visuals. You know your presentation well enough to know what’s coming next.

The problem with Q&A is that it is the unknown. You don’t know what is going to happen. Somebody can throw you a question out of left field. Perhaps someone can make you look bad. There is so many unknowns that we need a system to be able to deal with that unknown, and be sure that you look good in the process.

One of the first things you need to know is what to do when somebody asks you a negative question. Many of us were taught to repeat the question back to the questioner. Do you suppose there might be something else we could do other then repeat a negative question? If you repeat that negative question, what are you doing? You are in essence confirming that it might be true.

Now actually repeating a question is not always a bad idea. It gives you time to think. It gives the rest of the audience a chance to hear what the question is. But if the question imparts a negative, there is another way.

Instead of repeating the question verbatim, try this: Listen closely to the question so that you are hearing not just the words, but the essence of the question. Ask yourself what is at the kernel of the question when all the negative, inaccurate, untrue or personal agenda items are stripped away. Then rephrase the question around that kernel, signaling to the audience that you are actually searching deeper into the topic that the questioner did!

Because Q&A typically is the last thing that happens in a presentation, it is so important and vital you end on a positive note. We can’t tell you how many times a presentation which started off well didn’t end that way, because it all fell apart in Q&A.

Why Use a Transcription Service Versus Transcribing Your Own Research Interviews?

Having researched your topic and conducted confidential interviews you have every reason to be nervous about handing over your research material. Transcription of research material can costly but typing it yourself is very time consuming.

So, what are the pros and cons of doing it yourself versus using a transcription service provider?

• Time: Transcribing one-to-one research interviews takes a very long time if you are not a fast and accurate typist and particularly if you do not have specialist transcription equipment. It takes an experienced transcriptionist approximately 4-5 hours to transcribe a 60 minute voice recording. I am sure you will agree your time is best spent elsewhere!

• Experience: Copy typing or typing course work is very different to transcribing voice to text. Your interviewees will each have different accents and a faster/slower flow of speech. The transcript will need to read properly and have the correct use of grammar, punctuation and spelling. And then of course there is the accurate use of homophones which can be a tricky business in itself. Homophones are words that sound the same but have different meanings, for example, 1) your and you’re 2) there, their and they’re 3) hear and here 4) to, too and two. An experienced transcriptionist has a trained, keen ear and excellent attention to detail.

• Word Processing Skills: To professionally format your transcript you will need a good command of Microsoft Word and to ensure the format is consistent throughout. Your course requirements might specify a certain font or line spacing or you might need each line of the transcript numbered. A professional service will be able to provide you with an example of a standard layout and in addition they will accommodate any particular request you might have and incorporate this throughout.

• Proofreading: Sometimes a fresh eye is required when you have spent hours and hours listening to and looking at your research interviews. A professional transcript that looks and reads well will add value you to your research.

• Choice of transcript format: If you transcribe your own research you will soon realise how often people use phrases such as ‘you know’ or ‘you know what I mean’ or ‘eh’ or ‘um’. This can be not only frustrating to listen to but it can add considerable time to the process. By outsourcing your audio to a transcription service you get to choose the format of your finished transcript without the pain of doing it yourself! The transcription service provider you choose should be 110% professional in all dealings with them and have a proven track record in the industry. They should be willing to provide you with testimonials or referees to contact should you require same before booking your project with them.

• The expense: Cost is often a real concern when you are trying to work within a budget so factoring in the outlay for professional transcription is important to do from the start. Transcribing your one-to-one interviews yourself might save money but most people find the time involved doing this is prohibitive. Good quality audio is much quicker to transcribe and therefore a provider will charge you less for it. An experienced service provider will be able to provide you with recording best practice guidelines to follow before you record to ensure transcription of your audio is affordable. Staying within budget is one thing but, remember, going for the cheapest transcription quote may be counter-productive if it comes back in such a state that it needs redoing!

It’s A Quantum Thing

We don’t need to understand quantum physics entirely in order to appreciate it. Even those who have devoted their lives to the study of the universe and its atomic structure will admit that many mysteries remain. Well, I love mysteries, so let’s set the scene for this one…

There’s a Big Bang. “Whoosh!” go all the molecules. Much swirling commences. Fast forward 12 billion years (give or take a billion) to present day. People all over the world watch sci-fi movies, read physics texts, attend harmonic convergence gatherings, study nanotechnology, and gaze at the stars. Our questions: How did we get here? Who are we? Where is here? Why? What next?

If you’re expecting quantum theory to answer those questions, you’re going to be disappointed. However, it does give us some heady new ways to anticipate those answers.

Let’s take a look at some terms. Back in the fifth century BC, our Greek friend Democritus had the idea that all matter is ultimately made up of tiny grains that cannot be divided into smaller pieces. He called these little pieces “atoms” for the Greek phrase “a-tomos” which means “uncuttable”. Poor Democritus didn’t have the advantage of sophisticated microscopes, so it’s not surprising that, centuries later, it was discovered that atoms are actually cuttable. In fact, atoms are themselves made up of tiny particles we’ve dubbed neutrons, protons, electrons and neutrinos.

But it doesn’t stop there. Now we’re thinking that leptons, along with quarks, are the tiniest of particles of all and currently considered the ultimate building blocks of nature. Since we keep finding particles inside particles and adding new names to pieces of atoms, it’s easier to refer to the smallest chunks into which something can be divided as quanta. The German physicist Max Planck first proposed that energy might come in little pieces called quanta back in the early 1900s. So when we talk about quantum theory, we’re just referring to the whole set of ideas surrounding the microscopic world of atoms.

Along comes Albert Einstein, who recognizes that this whole idea of quantum physics turns classical physics on its head and spins it around. Here all these scientists had developed theories and precise formulas for calculating predictably and consistently the ways in which bodies move. Now there’s this idea that little particles actually behave in ways we can’t predict with certainty. These tiny quanta are mysterious. They respond sometimes as particles, and sometimes as waves, and we can’t always tell which way they’re going to go. If a particle is traveling from point A to point B, we can guess its path, but the tinier the particle, the less sure we are that that exact path is the one taken. In fact–hold on to your hat here–we’ve come to understand that not only do we not know the exact path, but that the particles may actually be in two places at once.

Think that’s radical? Back in 1957, a Princeton graduate student named Hugh Everett proposed what is called the “Many Worlds” interpretation. According to his dissertation, quantum theory (the variable behavior of atoms) is true not just for atoms but for everything–like tables, flower pots, SUVs, and even people. Everett was actually stating that these big things could, like tiny pieces of atoms, be in many places at once.

It gets wilder. Everett hypothesized that if you observe a sports utility vehicle (SUV) which is in two places at once, your mind will also end up in two states at once–one which perceives that SUV in one place, and another which perceives it in another place! So, really, there would be two versions of you and each one would perceive a world in which there is a different version of the SUV. Not only that, but these two selves and these two SUVs don’t exist in a vacuum. They actually interact with each other!

This whole concept of multiple realities was a big boon for science fiction writers. The truth is that these ideas are generally considered plausible but not in relation to the large-scale world. We don’t have a way of manifesting alternate universes full of multiple SUVs (thankfully) so we can’t really test it.

But there is one area of the Big World (that which we can see without microscopes) that will be completely revolutionized by quantum theory, and that’s the development of quantum computers. In quantum computers, experimenters are taking advantage of the ability of particles such as atoms to be in many places at once to do many calculations simultaneously.

Talk about high-speed connections. Quantum computers could solve in seconds problems that would take conventional computers millions of years to decipher.

We’re talking WAY beyond quickly downloading your email, obviously. What does this mean for the world? What will these quantum computers do? The staggering truth is that a quantum computer will actually perform in different realities–it will be engaging huge numbers of versions of other computers in alternate universes.

Freaky, huh? But real, and coming soon–or at least, eventually.

Next time you find yourself daydreaming about how your life could be different, ramp it up a notch. Think about quantum physics and the Many Worlds theory. Consider that your life might already be different in some other reality! If it’s possible that it exists exactly as you dream it, there’s no reason you can’t create it here. And heck, you only have to do it in one universe. Piece of cake!

Digging for Gold

When I was a young boy in Santa Cruz, California I used to help my Grandfather in the fields by his home. This was not his land but back in those days it was not unusual to barter with the neighbors to work it for them so he could grow the vegetables that he loved. He would then share them with the neighbor for payment. He grew corn, beans, peas, zucchini, cucumbers and garlic. And nobody could grow bigger dahlias than my Grandfather.

As I worked along side him he used to love to tell this story of a man named Giuseppe (Joe) and his wife who moved to a new farm with their three sons. They were settling into the new community when a nearby farmer told Joe that there was gold in the dirt of his new property. Joe took that statement as that there was actual gold in the land. He thought to himself “I have three healthy sons, I’ll tell them about it”. Indeed he told his sons that there was gold to be found in their new property. Needless to say his sons actually took charge of their personal enterprise right on their own land. They had visions of what they would do when they found gold. Each son had a different vision. For as young as they were, they set up quite a professional approach in the digging for gold.

They began in one corner with a certain width and kept going until they got to the end. Once they got to the property line they would start another swath and go back the other direction. They began to realize that digging for gold was fun! This procedure went on for about six months and they still weren’t through going through the whole property.

Meanwhile Joe thought he would plant some crops in the area where the dirt had been turned thoroughly. He planted corn, tomatoes, potatoes and onions. His sons continued to dig through the soil, determined to find gold. As more dirt was available, Joe planted more crops. An interesting point here is that Joe had never farmed before but it had always been a dream of his to do so.

As each different crop became ready to be harvested Joe started to realize that there was more than he and his family could ever eat. One of Joe’s neighbors suggested that he set up a vegetable stand. Joe and his wife did that very thing. They called it Joe and Family Vegetables. Joe even had to leave some crops on the ground because he had more than enough to meet the demands at the vegetable stand.

What were Joe’s sons doing in the meantime? They were still working the land even after they had finished the entire parcel. They started once again in the original corner, working in the leftover plant material while they were still on their quest to find gold.

This process went on for years and Joe and his wife became quite wealthy from their little vegetable stand. They were even able to send their sons off to college simply because they wanted to find gold.

Remember at the beginning of the story when Joe was told by his new neighbor that there was gold in the land? Well, the truth is, Joe’s understanding of the English language was less than perfect. His new neighbor friend actually told him that his land had rich soil. So you can see where the concept of gold came in.

Did Joe’s sons become slaves to the digging? No, they were inspired because they had visions of what money could do for them and did not focus on the money itself.

Is there a way we can take this story to a higher level? Yes, the Universe provides us opportunity and sometimes dangles the carrot to inspire us. In essence, Joe’s sons were inspired with the possibility of finding gold in the soil. Some of you I’m sure will draw your own meaning, but here is one to consider. Go out and pretend that there is gold in all your challenges and setbacks so that you can be inspired to motivate yourself to allow the Universe to provide all that you need and then some. The Universe will never give up on you, if you never give up on yourself.

a) Large, quality idea pools are built up through a separation of creative thinking from critical thinking. If the people who wrote Red Riding Hood had realised the number of interpretations it has undergone and the various meanings attributed to the story, they may never have written it.

b) Creativity can be defined as the generation of a large number of ideas and a large number of novel and diverse ideas. Spontaneity, with its lack of evaluation, increases the number of ideas and the number of novel and diverse ideas.

c) A lack of evaluation reduces evaluation anxiety, removing blocks and increasing idea numbers and the number of novel and diverse ideas. If people are worried about being unoriginal then they produce less; if they’re worried about failing then they’ll produce less; if they accept their first thoughts, ideas will flow. The trick is to ignore content.

Verbatim Tarot, Its Miraculous Birth, Miracles Are Beneficial Coincidences

Coincidences that benefit: That is what miracles are! Breaking the English language like a code, phonetically, with two picture dictionaries, beginning when she was 3 or 4 years old, paved the way for a later occupation that also treats the English language as a code: court reporting. Which in turn paved the way for breaking the code of Tarot’s meanings for Tarot! And out of that grows a Tarot system that *indicates its degree of accuracy, *often reports the words people say or will say, *talks directly to the questioner; *the reader doesn’t have to understand.

Teaching herself how to read It all started when Mother claimed to be reading and refused to prove it. Mother was tired of this kid saying ‘See, you’re a liar again, the stove isn’t hot’ when the stove wasn’t turned on. So now the kid had to find out whether those things on pages were really words. Kid had two picture dictionaries, so she used them to phonetically break the English language like a code. This upset everyone, so she persisted.

One way out of the ghetto – It’s 1965 and father is a disabled veteran, having been severely mustard gassed by Germans who occupied France where he was a spy blowing up bridges. Daddy was not exactly sane and the army cared about $30 to $43 a month’s worth. $1,000 was available for education. That meant vocational school. Only two choices there would result in a good income: computer programming or court reporting. If you can’t count and you can write, voila: court reporting.

Court reporting schools in 1965 had a 99% dropout rate. 50% of graduates dropped out of the profession in the first year. The schools did not expect to have to graduate you. Working for the YWCA for $12 a week. Those women were ferocious.

Next coincidence is being hired for a job in the State Attorney’s office over her protests that her shorthand speed is insufficient. (The State Attorney’s mother ran the school, and the school was tired of a student that had paid up already taking up a seat.) In 1967. For $90 a week. The Jackson 5 are on television 5 minutes of every hour, and Michael is a cute toddler.

Now we own Court Reporting Office – Flash forward to 1980 or so. Here is a skilled technical court reporter who has owned her own court reporting office for some years now. She listens to a professor – on the radio, yet – lecture on Consistent Violators of the Laws of Random Distribution, a fascination of hers. She has been dreaming repeatedly about those Laws. Tarot is one of only five known consistent violators of the Laws of Random Distribution, he says. The professor’s experiments are easily reenacted, just buy a deck of Rider Waite Tarot.

Well, Tarot takes only a few minutes here and there, a hobby a court reporter can do. Just buy a Tarot book. Ten Tarot books are nonsense. Hmm. What do the people do who make a living reading Tarot? Three Tarot psychics allow her to sit in. She discovers they get their information from spirit guides and just use some colors or just use one or two card pictures to get started. “Don’t you hear the spirits; you do cards?” one of them asks. Hunh-uh.

Teaching herself how to read again – Hmm. The lectures show there is some power in Tarot all by itself. If you need to get meanings out of them…well, remember algebra? ‘There can be only one unknown in an equation if you are to solve it.’ If you use the whole Tarot deck for each answer to a ‘known’ question and write it all down, you will eventually get the Tarot’s meaning for Tarot. Nine years of that!

Some of those ‘known’ questions come from the trials she court reports; and she uses trials to test the system’s ability to predict as well. Unconsciously, the meanings she finds for the cards are expressed verbatim.

Now there is a cluster of miracles – Serendipity happens: What results is a system that often quotes what a person says or will say, word for word. What also results is a system that answers verbatim directly to the person who is questioning: The reader/interpreter does not have to understand! And what also results is a system that answers legal questions really well because it was ‘born there.’

But we have saved the best for last. Only because she wanted to not have any cards left over in the 78-card deck when she used the whole deck to answer the ‘known’ questions, she expands each layout or spread to 13 cards instead of the Celtic Cross’s 11 cards. Putting those extra two where the last card was creates a spread with three distinct parts: the middle ‘tower,’ (Sentence 2) so called because of the Celtic history of this spread; all those that come before it (Sentence 1); and all those that come after (Sentence 3).

Those three divisions form three sentences that repeat and support one another when the answer is correct! This discovery is easy when the answer is a ‘known,’ of course.

Cards with the same meanings appear in two or three of the sentences to make a theme. When you see those theme cards, you are on to what the answer is, quickly. Discovering the theme cards was easy too, when you knew what answer was correct ahead of time.

A divination system that indicates its own accuracy is worth its weight in sweat! WHAT A HAPPY ACCIDENT!

What drives all these coincidences? – being a mystic. Now comes the confession that while all this analytical and logic-based search for meanings was going on, so were repeating dreams of driving a chocolate brown purring ‘78 Delta 88 convertible with leather-brown seats, top down, onto the very wide curved road with a huge overhead wrought iron gate that said ‘TAROTLAND.’

There was the Queen of Pentacles in the laundromat with the Page of Wands in those dreams. Yes, Tarot had gotten into the subconscious for sure. Had it not, would all those answers be as on point? Had it not, would her approach to answering your questions be as analytical, as detailed and as intuitive as her approach to learning Tarot was!
